Figure 7.3. Memo to Staff for Conferences

DATE: October 3

TO: All Staff

FROM: Aaron Chan, Principal

SUBJECT: Upcoming family conferences and absenteeism initiative

Conferences are a great opportunity for us to remind parents about the importance of regular attendance for their students and for our school community. We have given you a list of your students in each of the attendance categories (Regular Attendance, At-Risk Attendance, Chronic Absence, Severe Chronic Absence) and color-coded letters that you can put in each student's file (green for Regular, yellow for At-Risk, red for Chronic, and dark red for Severe Chronic). As you conduct conferences with parents, consider the following talking points for students in each of the categories:

Congratulate parents of students with regular attendance and encourage them to keep getting their students to school regularly. Remind them that the fewer absences their child has during a year, the greater the likelihood of success. They are giving their students a foundation that supports success.

For students with at-risk attendance, let parents know that the student's attendance is below what is recommended for the student to have the best possible chances of success in school. Say something like this: Johnny has missed five days in the first three months of school, which puts him in the At-Risk Attendance category. We know that students in this category may experience negative outcomes if absenteeism continues, such as lower grades, disengagement from adults or peers, and other struggles in school.
